School Onboarding Form

Before we configure your Juno workspace, we need to understand how your school actually runs admissions. The more accurate your answers, the more your setup will feel purpose-built for your school.

01
Your Team
Who will use Juno, and who we contact during setup and beyond.
School name
Principal's name and WhatsApp number The principal receives a daily summary report — we need this number to set that up correctly.
Our day-to-day contact at your school The person we'll reach during setup and for any ongoing queries — usually the admissions head, not the principal.
Do you run more than one campus / branch? If you have multiple branches, we set each one up separately — its own admin, its own counsellors, and leads tagged to that branch — so every branch works only its own enquiries while management sees all of them. Single campus? Just leave this as it is.
Counsellors who will use the system List every counsellor by name and phone number. We'll create an individual account for each of them.
Anyone else who needs access? For example — a marketing team member, branch head, or management. They'll get a view-only or management-level account depending on their role.
02
How You Run Admissions
Your pipeline in your own words — we build Juno around it, not a default template.
Which grades do you offer admissions for? Select every grade you take admissions into. We'll set these up across the system so leads can be tagged and filtered by grade.
What are your pipeline stages — in your own words? Walk us through every step from the moment a parent first contacts the school to the moment a seat is confirmed. Write exactly what your team calls each stage — we'll build the system around your language, not a default template. Example: Enquiry Received → Visit Scheduled → Visit Done → Form Submitted → Admission Confirmed.
What are your working days and hours? We track how quickly counsellors call new enquiries within working hours. If campuses follow different schedules, add them separately so response-time reporting stays accurate.

When a lead doesn't convert, what are the usual reasons? We'll set these up as selectable reasons when a counsellor marks a lead as lost — so over time you can see patterns in why you're losing enquiries. List as many as apply.
How do you currently assign leads to counsellors? We can auto-assign by round-robin, by class applied for, by source, or by counsellor availability — or you can assign manually. Tell us how you'd like it to work.
Any custom details you track about parents or students? Beyond the standard fields — name, phone, class applying for — are there things specific to your school that you always want to know? We'll add these as custom fields on every lead record.
03
Where Your Leads Come From
Every source we'll track — each enquiry is auto-tagged with where it came from.
Which sources are currently active? Select everything that applies and give an approximate monthly volume for each. This is how we set up source tracking — every enquiry will be automatically tagged with where it came from.
Any other lead source not listed above?
Do you have a school website? If yes, we can deploy a chatbot or lead form on it that feeds directly into the system — capturing parent name, child's name, age, class applying for, and phone number.
Are you running Meta Ads currently? We can connect your Meta Ads account directly to the system so every lead from your campaigns is automatically tagged with the exact ad that generated it.
Are you running Google Ads currently?
04
Your Existing Data
Leads we'll migrate in, so nothing from this or past seasons is lost.
Do you have leads collected already — from this season or previous ones? If yes, we can migrate them into the system so nothing is lost. Even if the data is messy or incomplete, share it as-is and we'll clean it up.
If yes — approximately how many leads, and where is the data currently?
What columns or fields does your current lead data have? List the column headers from your sheet. We'll map each one to the right field in the system.
05
Parent Communication
Your WhatsApp number, the automatic first reply, and reusable message templates.
WhatsApp Business number for parent communication All WhatsApp messages to parents will go from this number. It must be a dedicated school number — not a personal phone. If you don't have one yet, set one up before we begin.
What should the automatic first message say when a new enquiry comes in? The moment a parent's enquiry is captured, the system sends them an automatic WhatsApp. Write what you'd like it to say — in your own words, in whatever tone fits your school. We'll format it properly.
Any other standard messages your counsellors send repeatedly? We'll build these as ready-to-use templates so counsellors can send them in one click instead of typing them out every time.
How should the principal receive the daily summary report?
Principal's email address Even if WhatsApp is preferred for the daily report, we'll need this for account setup.
06
Readiness Check
What needs to be in place before we can begin your setup.
Before we begin setup, confirm the following are ready If anything is not ready yet, note when it will be. Setup cannot begin until all of these are confirmed.
Anything else we should know before we start? Anything specific about how your school works that doesn't fit the questions above. The more we know upfront, the less we'll need to reconfigure later.

Once you submit this, our team reviews your answers and gets back to you within 48 hours with a confirmed setup timeline and any follow-up questions.
